Nextgen,Inc. introduced an operational improvement system using the BPM platform Camunda to improve the efficiency of application procedures for the Japan Association for Construction Skills (JAC)'s acceptance support service and document preparation operations for members. It established a process for automating preliminary decisions on data, creating a system in which valid applications do not require manual review.
For application procedures, the company switched to a process in which people review and closely examine applications only when an automated decision cannot be made. As a result, processing times were significantly reduced even though the number of applications increased approximately tenfold from the start, eliminating reliance on individual employees and helping reduce training costs.
For document preparation operations for members, the company systemized the reconciliation of source data, which had previously required approximately 5 days per month with a 2-person team. Staff can now begin preparing documents after only confirming the results of automated decisions and assessing exceptional cases, significantly reducing working hours and personnel costs.
Katayama Shohei (片山祥平) of JAC's Administration Department explained that the introduction of the system standardized operations and enabled members of other departments to make reliable decisions. Nextgen,Inc. plans to continue proposing AI-enabled solutions and developing and implementing systems through its Camunda-based BPM business, with a policy of aiming to expand its business scale by approximately ¥3.6 billion over 3 years.
