Nextgen,Inc. supported the digital transformation of the Japan Association for Construction Skills (JAC)'s application procedures and document preparation operations for members using Camunda, eliminating reliance on individual employees and significantly improving operational efficiency. Although the number of applications increased approximately tenfold, review times were reduced and training costs were also cut.
As a result of the severe labor shortage, JAC had come to rely primarily on manual processing of application data as systems supporting the acceptance of foreign workers expanded. Nextgen,Inc. introduced an operational improvement system using Camunda and transitioned to a process that separates automated decisions on applications from the review of applications requiring human attention.
For the improvement of the application procedures for the acceptance support service, the company established a system for making preliminary decisions on application data. The process was changed so that people closely review only applications that are difficult to assess automatically, eliminating error-prone manual work. The number of applications was approximately 10 times higher than at the start, while processing times were significantly reduced.
For document preparation operations for members, the company systemized work that had previously required approximately 5 days per month with a 2-person team. Staff can now begin preparing documents after only confirming the results of automated decisions and assessing exceptional cases, reducing both working hours and personnel costs. This has also helped reduce training costs.
Katayama (片山) of JAC's Administration Department commented that the introduction of the system had advanced the standardization of operations and reduced the burden of training and handovers. The company plans to expand customer-accompanied operational improvement proposals using Camunda in conjunction with AI, with a view to reaching a business scale of approximately ¥3.6 billion in 3 years.
